Real Property Field Data Collection Services

Town of Lexington

Buyer seeks qualified vendors to provide Real Property field data collection services for residential and commercial parcels. Services include on-site real property physical inspections following MA Department of Revenue requirements. Inspectors will photograph, measure, and sketch structures, and list various characteristics of parcels selected by the Assessor's Office. The collected data must be entered into buyer's existing VGSI CAMA software. The minimum engagement will be 500 parcels with annual engagements planned.

• 5/8/2025 - RFP documents available
• 6/5/2025 - Proposal Due Date
• 7/1/2026 - Contract start date

• Five years' successful experience providing Real Property Field Data Collection Services
• Demonstrated experience with CAMA software valuation systems
• Ability to field inspect residential, commercial, and exempt properties
• Valid driver's licenses for all employees working in Lexington

• Photograph, measure, and sketch structures on selected parcels
• List various characteristics of parcels on property record cards
• Enter collected field data into VGSI CAMA software V8.2xx
• Conduct on-site property inspections (exterior and some interior)
• Take digital photos from two angles for each property
• Create accurate sketches showing outside measurements and story heights
• Verify existing measurements and record changes on property record cards
• Document land attributes such as topography, wetlands, and traffic
• Achieve minimum guaranteed interior inspection rate
• Submit monthly progress reports in spreadsheet format
